Getting started with the Velixo AI Gateway

Overview

Before anyone in your organization uses the Velixo AI Gateway, complete the prerequisites in this article once for your organization. Then set up each AI app your organization uses: Claude or Microsoft Teams. Support for ChatGPT and Slack is coming soon.

This article covers:

• the Velixo prerequisites,

• the Acumatica prerequisites,

• who in your organization sets up each AI app.

Velixo prerequisites

• Preview enrollment. Your organization must be enrolled in the Private Preview. Velixo enables access for your organization; you cannot turn it on yourself.

• Velixo Portal account. Each user needs a Velixo Portal account and membership in your organization. See Signing in to the Velixo Portal.

• Predefined connection with credentials. Each user needs at least one predefined Acumatica connection with credentials entered in the Portal. The AI Gateway works only with predefined connections – local connections created in the Velixo NX Connection Manager are not available. See Managing predefined connections in the Portal.

• Velixo NX add-in (for Excel workbooks). To open results as Excel workbooks, each user needs the Velixo NX add-in installed in Excel and signed in with their Velixo account.

Acumatica prerequisites

• Acumatica version. 2025 R2 or later.

• Velixo Intelligence customization. Publish the VelixoIntelligence customization, version 2026.9 or later, on the Customization Projects form (SM204505) of your Acumatica instance. See Installing and updating the Velixo customization package. The package can only be obtained from your Customer Success Manager during the private preview.

• Roles. Assign each user one of these Acumatica roles:

  • Velixo Intelligence (Read Only) – query data, run reports, read records, and list and download attachments.

  • Velixo Intelligence (Read and Write) – also create and change records, upload attachments, and run import scenarios.

• Velixo inquiries. To query the Velixo inquiries through the AI Gateway, the user also needs the Velixo Core, Velixo GL, or Velixo PM role that grants the inquiry. In every case, the user needs ordinary Acumatica access rights to the screens whose data they read. When you save a connection in the Velixo Portal, Velixo warns you if a role or the package is missing.

• API access. On the Users form (SM201010), the Allowed Login Type of the Acumatica user in each connection must allow API sign-in. If it is set to UI only, Velixo cannot sign in.

• Concurrent logins. Velixo sessions count toward the Max. Number of Concurrent Logins of the Acumatica user, set on the Users form (SM201010), in addition to the sessions from the Velixo add-in and any other tool that signs in as the same user. If users see login-limit errors, raise the limit or give the connection its own Acumatica user. Sessions also use your Acumatica API user license.

• Firewall or IP allow-list. The AI Gateway reaches Acumatica through the same Velixo proxy as Velixo NX. If your Acumatica server only accepts connections from approved IP addresses, allow the addresses listed in Connecting Velixo NX to a firewalled or on-premises ERP server (IP allow-list).
