Using Refresh All allows you to update the data returned by the Velixo functions in your report.


 

Velixo retrieves data from your database via the database's OData feed.  To speed up further analysis, your data is cached within the Excel workbook.  In this way, as you manipulate your data to fit the needs of your report, the results are displayed instantaneously.  Refresh All can update both the report and that cached data.

 

There are two options for Refresh: Smart Refresh and Full Refresh.


 

Smart Refresh

... will only load data that is new since the last refresh of your report. Any change to the Chart of Account or subaccounts will also be retrieved.

 

A Smart Refresh is most valuable when new data is available or when new accounts or subaccounts have been added to your database and your report includes Velixo List functions to display those values.

 

For example, if working with a Trial Balance report for the current period, Smart Refresh will bring in any new transactions that have been entered into your database since the last time you refreshed your report.

 

Because only a subset of your data is being retrieved from the database, this can be done very quickly. The local cache is updated and you are now working with up-to-date information.

 

Full Refresh

... reloads all data associated with the Velixo functions in your report. This includes all new transactions, any transactional data that was already loaded, and any new underlying information in your database (such as changes to the chart of accounts, subaccounts, branches, etc.).

 

Because all data associated with your Velixo functions is being retrieved, this will generally take longer than a Smart Refresh and a status notification will be displayed at the bottom of the Excel window:

A Full Refresh is most valuable when:

  • Manual data integrity corrections have been made directly via a SQL query to the database (usually by your ERP's support or a consultant)

  • There have been changes to your system's security configuration - such as branch access restrictions or row-level security (also known as restriction groups)

  • Changes have been made to segmented key configuration (length of the account or subaccount structure)

Note: Refresh All is not available if you have chosen to work offline.

Info: The Cancel option allows you to cancel a Refresh operation you have already strated. This can be handy if a problem occurs with the connection to your ERP system and Velixo/Excel is having difficulty completing the process.
